Automotive Maintenance Administrator

Hybrid role, Auckland CBD: a long-established organisation providing automotive and fleet services needs a Maintenance Administrator to keep the paperwork for vehicle servicing, repairs and maintenance running smoothly.
Main focus: organising maintenance processes through careful handling of transactions, invoices, records and service requests, with information processed accurately and inside the required timeframes. Strong attention to detail is essential.
Best suited to: professionals from administration, data entry, customer service or automotive settings who can show accuracy, dependable communication and sound management of important information. Key Responsibilities
- Keep an eye on workflow queues and move each request along before its service deadline passes
- Handle admin tasks tied to vehicle servicing, repairs, maintenance work and tyre replacements
- Record maintenance transactions without errors and refresh the data held in internal systems
- Check each invoice is correct, investigate discrepancies and exceptions, then reconcile transactions and chase items left open
- Look after accurate service files for each vehicle along with their supporting paperwork
- Stay in contact with workshops, suppliers, customers and colleagues
- Ring service providers about maintenance requests and any details still outstanding
- Deal with enquiries about maintenance and help resolve problems
- Give Maintenance Controllers day-to-day administrative support
- Manage many requests in parallel while staying accurate, helping deliver efficient customer service and well-run maintenance operations
Requirements & Eligibility
- Demonstrated track record in administration, data entry or a similar position, plus proof of the jobs you held and the professional duties involved
- Precise and detail-focused when dealing with records and transactions
- Speaks confidently and professionally, including over the telephone
- Gets messages across clearly to customers, suppliers and colleagues across the business
- Highly organised, able to balance priorities that compete for time
- Keeps to deadlines even when the workload is heavy
- Comfortable with computers and able to pick up unfamiliar systems
- Dependable, upbeat and cooperative within a team
- Knowledge of the automotive trade, or automotive industry experience, is advantageous
- Background as a Service Advisor, Service Administrator or in a similar job is desirable
- Overseas experience that is relevant can count, provided it can be verified appropriately
- Must satisfy the applicable Australian requirements for employment and sponsorship
